Job Description

Duties and Responsibilities

I. Client Relations and Property Management

  •  Address clients concerns, requests and inquiries
  • Endorses concerns to the Project Officer for proper scheduling
  • Facilitate the application and processing of refunds (Construction Bonds)


II. Contractor Relations

  • Receive submitted Contractors Billing (s)
  • Check Contractor Billings based on the completion of the attachment (based on checklist and accuracy of data)
  • Inform Contractors on the status of their billings and provide them updates
  • Provide status of Contractors legal documents (Recommendation to Award Contract (RTAC); Notice to Proceed (NTP); and Construction Agreement
  • Notify Contractors of their weekly collection
  • Address Contractors concerns, requests and inquiries


III. Project Utilities Management

  • Facilitate MERALCO service application of housing units, including preparation of payments and other related permits.
  • Prepare request for payment (RFP) for all utility bills (PLDT & MERALCO
  • Prepare and facilitate distribution of the Statement of Accounts (SOA) for water and electric temporary lines
  • Prepare and facilitate the distribution of Disconnection Notice for individual electric tempo line
  • Prepare summary of daily and monthly collection report
  • Responsible for the payment of utilities under the management (MERALCO and water district)
  • Prepare monthly utilities report.


IV. Office Administration Management

  • Receive and record all incoming/outgoing documents
  • Responsible for the filing of requests/milestone on the system
  • Responsible for the daily transmittal of Site Office to Head Office
  • Organize and file site office documents
  • Prepare reimbursement requests with proper and complete attachments
  • Prepare liquidations
  • Prepare requisition slip and budget office supplies
  • Monitor the availability of supplies/medicines for the first aid kit
  • Coordinate with MIS and other departments regularly to ensure that all computers related equipment are in good working condition.
  •  Responsible for the routing of Head Office Memo
  • Oversee the maintenance of the site office and check completion of their semi-monthly DTR
  • Purchase cleaning materials for the site office
  • Assistance with the RPT Assessment.

Qualifications

  • At least college level or graduated for any course
  • At least one year experience for documentation works but newly grad applicant are also welcome to apply
